Removing vs. Deactivating Users: Key Differences and How-To Guide

This article explains the difference between removing and deactivating team members in Interplay. Learn when to use each option and how to efficiently manage your team members.

Understanding the Difference Between Deactivating and Removing a User

Deactivating a User: When you deactivate a team member, they lose access to the group and its sub-groups, but their data remains available in the "Deactivated" tab. This is useful when you want to temporarily disable access, but would like to retain history of their progress.

Deactivated users can be reactivated at any time, restoring all their information​.

Removing a User: Removing a user from a group removes their access to the group and it's subgroups. Instructors and administrators will no longer be able to see the user or access their data while viewing the group. 

Removed users can be added back into the system at any time, restoring all their information and points. 

Tip: Both removing a user and deactivating a user will free a seat for your account. 


How to Deactivate a User:

  1. Go to the "Team" tab and select the group.
  2. Click the "Team Members" tab.
  3. Select the user(s) and click Deactivate.
  4. Confirm the action, and the user(s) will be deactivated.

How to Remove a User:

  1. Navigate to the group’s "Team Members" tab.
  2. Select the user(s) and click Remove.
  3. The user will no longer appear in that group.

How to Bulk Deactivate Users

  1. Sign in to your Instructor account.
  2. Navigate to the group’s "Team Members" tab.
  3. Select Users: Use the checkboxes next to the names of the team members you want to deactivate.
  4. Click the Deactivate button at the top of the members list.
  5. Confirm the Action: After clicking, a prompt will appear to confirm the deactivation. Click Deactivate to proceed.
  6. The selected members will be moved to the "Deactivated" tab, where their data remains accessible for record keeping​.
