Learn how to automatically assign content to new team members with dynamic due dates that are based on when the new member was added.
Assignment Automation Rules is available for Interplay Enterprise and Interplay Team customers.
Assignment Automation Rules Overview
Assignment Automation Rules can be created by Instructors and Instruction Assistants.
You can find Assignment Automation Rules in the Command Center under Manage Assignments.
Create a New Rule
An “Assignment Automation Rule” tells the system what content to assign, to whom it should be assigned, and how long they should have to complete it. The rule is linked to a group and “runs” every time a new user is added to that group.
To create a new rule, select “Create New Rule."
The system will then prompt you to add the details for your new rule:
Set Rule Name
You will want to give your new rule a descriptive name that explains what it is being used for. For example, you might have a rule named “New Employee Onboarding Courses” or “Required Safety Courses 2025”.
Select Content
Select up to 20 courses or paths to include in the rule.
You can browse all courses or paths or you can use the search bar to find specific content.
Keep in mind that these courses and/or paths will all be assigned at once, with the same due date. To avoid overwhelming learners, you may want to have several rules that assign 2-3 courses at a time with different due date settings so that due dates are staggered.
Select Groups
In the next step, you will select the group you want to associate the rule with. You can select one or more groups or subgroups to run the same rule. All new team members who are added to this group will be assigned the content you selected in the previous step the day they are added to the group.
If you also want current group members to receive the same assignment, you can check the box at the top for “Include existing members in this assignment”. If you select this box, the rule will “run” against the group now and assign the specified content to all existing group members.
Set Due Date
Set a dynamic due date by entering the number of days you want a student to have to complete the assigned content. For example, if you want students to have completed all the courses you selected in step 2 within 30 days of when they are added to the group, you’ll type “30” in the box.
If you included existing team members in Step 3 (Select Groups), those users will receive the assignment today. So continuing the example above, existing team members would have 30 days from today to complete the assignment.
Review and Create
Confirm your selections in the final step and select the “Create” button to create your new rule.
Once created, your new rule will appear in the table on the Assignment Automation Rules page.
To review, edit, rename, or delete a rule, select the 3 dot menu next to that rule and then select the action you wish to take.
Important - if you delete an Assignment Automation Rule, it only deletes the rule itself and stops it from running in the future. It does not delete any previous assignments already created by the rule in the past.
